Mandatory KSeF, changes to the flat-rate tax (ryczałt), growing reporting requirements, in 2026 handling accounting “on the side” is becoming increasingly difficult. Let’s look at when you can manage on your own, when you need an accounting office, and what to look for when choosing one.
- Mandatory KSeF (National e-Invoice System) is being rolled out in stages: from 1 February 2026 for the largest taxpayers (turnover above PLN 200 million in 2024), from 1 April 2026 for everyone else; the smallest entities (sales up to PLN 10,000 gross per month) have a deferral until the end of 2026.
- For a simple sole proprietorship (JDG) on the flat-rate tax with fewer than 20 invoices per month, online service at PLN 150-300/month is often enough; for more complex accounting (revenue and expense ledger, flat income tax), it’s PLN 300-600/month.
- For an sp. z o.o. with full accounting, the typical cost is PLN 800-2,000/month, and with HR services (up to 10 employees) it costs PLN 1,200-3,000/month.
- The key question when choosing an office is whether it has integration with the KSeF 2.0 API for automatic retrieval and sending of documents.
- There are three models of cooperation with an accounting office within the KSeF system, ranging from full self-sufficiency of the entrepreneur to fully delegating invoice issuance and retrieval to the office.
- Before starting cooperation, you need to log into the KSeF system (via Trusted Profile, qualified signature, or seal) and grant the office the appropriate permissions.

Why self-managed accounting is getting harder
Just a few years ago, many entrepreneurs handled accounting “on the side.” Today the situation looks completely different. KSeF, changing regulations, electronic reporting, and growing obligations are making self-managed accounting increasingly difficult, risky, and time-consuming. In 2026, good accounting is no longer just about recording documents, it’s about company safety and the entrepreneur’s peace of mind: deadline control, tax risk analysis, dealings with authorities (KSeF, JPK, ZUS, e-Tax Office), and implementing new obligations.
How much accounting costs in 2026
| Company type / accounting form | Price (2026) | What it includes |
| JDG, flat-rate tax, up to 20 invoices/month | PLN 150-300/month | Revenue records, ZUS, VAT declarations, JPK |
| JDG, flat income tax/tax scale, 20-50 invoices/month | PLN 300-600/month | As above + revenue and expense ledger, annual PIT settlement |
| Sp. z o.o., full accounting | PLN 800-2,000/month | Full books, CIT, financial statements |
| Sp. z o.o. + HR (up to 10 employees) | PLN 1,200-3,000/month | As above + payroll, e-files, employee ZUS |
| Invoicing software (self-managed) | PLN 49-149/month | Only invoice issuance + KSeF, no HR services |
Three models of cooperation with an office under KSeF
Option one: the taxpayer independently issues and retrieves invoices in KSeF, and the office only prepares settlements based on the documents provided.
Option two: the taxpayer issues invoices independently, but has granted the office permission to retrieve invoices from KSeF for accounting purposes. Option three: the office fully issues and retrieves the taxpayer’s invoices in KSeF using its own permissions and prepares the settlements.
Penalties and sanctions for KSeF errors
The provision on administrative penalties for evading the issuance of structured invoices already exists in the VAT Act (Article 106ni), but it only comes into force on 1 January 2027, so the whole of 2026 is a transitional period without automatic sanctions. From that point on, penalties can reach as much as 100% of the VAT amount on the invoice, or 18.7% of the gross amount for invoices without VAT, so 2026 should be treated as time to implement correct procedures, not a reason to delay.
| Period | Administrative sanctions | Notes |
| 1 Feb-31 Dec 2026 | No administrative penalties | Transitional period, the obligation formally already exists |
| From 1 Jan 2027 | Up to 100% of the VAT amount or up to 18.7% of the gross amount | Applies to, among other things, missing an invoice in KSeF or format errors |
The absence of administrative sanctions in 2026 doesn’t mean using the system is voluntary, since fiscal-criminal liability may already apply during the transitional period, and tax offices are actively contacting taxpayers about their readiness for KSeF. In addition, errors in JPK_VAT files with a declaration related to the implementation of KSeF can still result in a request for correction under the existing rules.

How to choose an accounting office
The first and most important question is whether the office has full integration with the KSeF 2.0 API for automatic retrieval and sending of documents; an office without such integration should be treated as a red flag. Second, a clear division of responsibility: remember that the entrepreneur is responsible for the accuracy of the issued invoices and for granting permissions in the system. Third, choose a partner that offers substantive support with document flow, not just a bookkeeping service. Fourth, check whether the office has emergency procedures in place for KSeF unavailability, since the regulations provide for a mode of issuing invoices outside the system with an obligation to complete them later.

The most common mistakes when implementing KSeF
The first common mistake is a lack of technical readiness, the company doesn’t have software integrated with the KSeF 2.0 API or established procedures for a system failure, which paralyzes invoice issuance at a critical moment.
The second mistake is improperly granting permissions in the system, in particular not filing the ZAW-FA form for the accounting office, meaning no one at that office can legally issue or retrieve invoices on the taxpayer’s behalf.
The third mistake is incorrect counterparty data, especially an incorrect tax ID (NIP), since in KSeF this number is verified against the taxpayer register, and an error results in the entire file being rejected without a KSeF number being assigned, meaning the invoice was formally never issued.
The fourth mistake is believing that since there are no administrative penalties in 2026, using KSeF is voluntary, when in fact the obligation is already formally in force and only the sanctions have been deferred until 1 January 2027.
The fifth mistake is unnecessarily issuing a zero-out correction instead of a partial correction, which for certain transactions can lead to a temporary double VAT settlement until the error is corrected in a subsequent period.
Frequently asked questions
Can I handle accounting myself, without an office?
Yes, for a JDG on the flat-rate tax or a revenue and expense ledger (general rules or flat tax) with simple activity, you can manage simplified accounting yourself using invoicing software with KSeF integration. For companies and full accounting, you usually need an accounting office or your own finance department.
From when does KSeF become mandatory for everyone?
From 1 February 2026 for the largest taxpayers, from 1 April 2026 for everyone else, and from 1 January 2027 also for the smallest entities that use the transitional PLN 10,000 gross monthly threshold until the end of 2026.
Who is responsible for errors in issued invoices if an office handles the accounting?
Responsibility for the accuracy of the issued invoices always rests with the entrepreneur, regardless of whether they issue them themselves or the office does so on their behalf.
Are there sanctions for KSeF errors in 2026?
2026 is a transitional period, and administrative sanctions are officially not imposed, but the penalty provision is already formally in force, so it’s worth implementing a correct process as soon as possible before 1 January 2027.
Can an invoice in KSeF be corrected after it’s been issued?
No, once it has passed validation and been assigned a KSeF number, the invoice enters legal circulation and cannot be edited or deleted. The only way to fix an error is to issue a correcting invoice.
What happens if the KSeF system fails?
In the event of a system failure, emergency modes for issuing invoices outside KSeF apply, with an obligation to submit the documents to the system later according to a schedule once the failure ends, so the accounting office should have a procedure worked out for this situation.
